Key Performance Indicators

NOTE! The old Controller will be discontinued on 31 December 2027. It will be replaced by Netvisor Controller (new). You can find more information about deployment here.

Open Controller key figures management by selecting Controller > Key figures and management reporting > Key figures.

Use this option when you want to create new key figures for Controller profit tracking. With key figures you can calculate values from accounting into the profit tracking view.

The system contains ready-made key figures based on the chart of accounts. Values for these key figures are retrieved automatically for profit tracking.

  • You cannot delete system-generated key figures that are provided as default.

  • You can delete a key figure that you have entered yourself.

Values are updated automatically in the nightly run.

  • Calculate values manually at a desired time if needed.

New key figure

Create a new key figure with the function "New key figure".

Fill in the details for the new key figure as follows:

  • Name: Enter the name of the key figure.

  • Description: Enter a description for the key figure.

  • Target value: Enter the target value for the key figure.

  • Unit used: Select the unit:

    • Euro amount (€)

    • Cumulatively behaving euro amount (€)

    • Percentage value (%)

    • Index value

  • Data source for key figure: Select "Formula" or "Static data".

    • "Static data" means a manually entered value.

Save the key figure by selecting Save data.

Editing a key figure

Edit a key figure as follows:

  1. Search for the key figure with the search function in the Key figures view.

  2. Enter edit mode by clicking the name of the key figure.

  • When a key figure is saved, it does not yet have a formula.

  • If the key figure is used in the calculation of another key figure, you can only edit its target value.

  • You can edit the formula normally, even if the key figure is used in the calculation of another key figure.

Key figure formula management

Manage the key figure formula when the data source for the key figure is "Formula".

  • If the data source is "Static data", the system displays a notification: "The data source type for the key figure has been defined as static data". In that case you cannot manage the formula.

  • When a key figure is saved, it does not yet have a formula.

Proceed as follows to add a formula:

  1. Search for the key figure with the search function in the Key figures view.

  2. Enter edit mode by clicking the name of the key figure.

  • If the key figure is used in the calculation of another key figure, you can only edit its target value.

  • You can edit the formula normally, even if the key figure is used in the calculation of another key figure.

When a key figure is saved, it does not yet have a formula.

Example of a completed formula

The view shows whether the key figure is used in the formula calculation of another key figure.

  • The example above is included in the formula of the "Operating profit" key figure.

Order: Define the row order number in the list.

  • If you want to add a new row at the top of the list, add the row on the lowest row and give it an order number between 1 and 9.

  • After saving, the added row will be at the top of the list.

Type: Select the type for the row from the options below.

Arithmetic operation: Use mathematical operations + - * / ( ) etc.

  • Follow mathematical calculation rules when adding a formula.

Change in accounting actual values for period: Select the desired account or account group from the chart of accounts.

Accounting actual values key figure: Select the desired account or account group from the chart of accounts.

Average of accounting actual value for period: Select the desired account or account group from the chart of accounts.

Number: Enter a fixed numeric value yourself.

Own key figure: Retrieve existing key figures to be used in the formula.

  • Do not use a key figure as part of itself. Otherwise the result is a so-called infinite loop and the system will display the error message "DEADLOCK!".

Key figure period adjustment coefficient: Use the adjustment coefficient when you want, for example, adding values to be correct for quarterly and financial year figures and not to be multiplied several times.

Entering fixed key figure data

Enter fixed key figure data for key figures whose data source is "Static data".

  • If there are no key figures with static data, the system notifies: "No key figures whose data source has been marked as static data".

  • Enter the desired value per month for the key figure.

If you have added the key figure in question to the profit tracking view, the key figure is shown in profit tracking as in the image below.

Key figures management

Use the view when you want to review created tracking views and the key figures linked to them.

New view

Add a completely new tab to the profit tracking view as follows:

  1. Select the "New view" link.

  2. Enter the name of the new view in the Description field.

  3. Enter an order number that affects the order of the tabs:

    • The view with the smallest order number is shown first on the left.

    • The view with the largest order number is shown last.

  • Edit an existing view by clicking the name of the view in question.

  • Delete a view from the same place if you no longer need it.

New key figure in view

Add an existing key figure to the desired view as follows:

  1. Select the view to which you want to add the key figure.

  2. Select the key figure, accounting account group or accounting account you want to link.

  3. Define the order in which the key figures are displayed.

  4. If necessary, select whether the key figure is expanded by default.

View: Select in the field the view to which the key figure will be added.

Key figure: In the field, select the existing key figure, accounting account group or accounting account to be linked.

Order: Define in the field the order in which key figures are displayed. The key figure with the smallest order number appears first in the list.

Expand by default: Set the key figure to expand by default if the key figure consists of a formula that includes other key figures. In that case, the key figure is automatically expanded in the tracking view.

The resulting view looks, for example, as follows.

Edit: Select when you want to edit the data again, for example to change the order.

Delete: Delete the key figure in question from the view. This function does not delete the key figure itself.

Formatting: Replace default formatting with your own choices. The view has the options below.

Allow drill-down: Select whether it is possible to drill down from the key figure to voucher level and see which vouchers the given value consists of.

The view may look, for example, as follows in the profit tracking section.

Key figures calculation

Proceed as follows when calculating key figures:

  • All key figures, including user-defined ones, are pre-calculated based on the previous day’s data.

  • Start recalculation of key figures if you want to include all the latest transactions.

  • Calculation takes from a few seconds up to several tens of seconds.

When you use the Key figures and management reporting function for the first time, start the key figure calculation manually for the first time:

  1. Open the calculation view.

  2. Select the two lowest options in the calculation view.

  3. Start the calculation.

  • In future, the system calculates key figures automatically during the night.

  • Run the calculation manually if you want a real-time balance from the accounting side in the Controller section.

  • Active period refers to the active financial year.

Frequently asked questions

When will the old Controller be discontinued and where can I find more information about the new Controller?

The old Controller will be discontinued on 31 December 2027. The new Netvisor Controller will replace the old one. You can find more information about deployment here.

How do I create a new key figure for Controller profit tracking?

Create a new key figure by selecting Controller > Key figures and management reporting > Key figures and using the "New key figure" function. Enter the name, description, target value, unit used and data source for the key figure, and save the key figure.

How do I manage a key figure formula?

Make sure that the data source for the key figure is "Formula". Search for the key figure using the search function in the Key figures view, enter edit mode by clicking the name of the key figure and add or edit the formula following mathematical calculation rules.

How do I enter fixed key figure data?

Enter fixed key figure data for key figures whose data source is "Static data". Enter the desired value per month for the key figure. If there are no key figures with static data, the system notifies that such key figures do not exist.

How do I add a new view in profit tracking?

Add a new view by selecting "New view", entering the view name in the Description field and giving an order number that defines the order of the tabs.

How do I add a key figure to the profit tracking view?

Select "New key figure in view", select the view and key figure (or accounting account group/account), define the order and, if necessary, set the key figure to expand by default.

How does key figure calculation work and when should it be started manually?

The system calculates key figures automatically in a nightly run based on the previous day’s data. Start the calculation manually when you use the Key figures and management reporting function for the first time or when you want a real-time balance from the accounting side in the Controller section.
