This instruction describes Netvisor’s new receipt handling in the browser. The instruction is intended for the accountant or other user who checks, supplements and allocates the company’s receipts in Netvisor.
Note! This instruction does not apply to Visma Scanner or eScan material handling.
Automatic delivery of ReceiptHero receipts additionally requires that ReceiptHero has been activated for the company. NOTE! The Scanner application will be discontinued on 31 October 2026.

Receipt handling is found under the Purchases menu in the top navigation, and here you will see the options

Settings
You can access the Open receipts and Receipt archive views if the user has the KP role as well as edit rights in the function-specific permissions for Receipts, and read rights for Basic functions of Bookkeeping.
In order to handle receipts from the Open receipts view and access the Settings tab, the user must have the KP role and edit rights in the function-specific permissions in: Receipts, Bank statement and Basic functions of Bookkeeping. In addition to these, the user must have at least read rights in: Basic functions of Accounts payable, Vendor management, Views and lists of Accounts payable, Account management and Bank account management.
Open receipts
In the Open receipts view you will see receipts that still require checking, supplementing, allocating or where the receipt is completely missing. Allocated receipts are moved to the Receipt archive.
Status – The current handling status of the receipt. The status appears as a coloured label and text.
Purchase date – The date when the purchase was made.
Purchase place – The purchase place of the receipt, and for credit card receipts this will show the vendor. Open the receipt handling page by clicking the purchase place link.
Amount – The amount and currency of the receipt.
Payment method – The card or other payment method selected for the receipt.
Vouchers – Vouchers created for or linked to the receipt. For example, links to KU and PT vouchers may be shown in the view.

The receipt status tells directly what needs to be done next:
Receipt missing: A payment transaction (such as a bank statement row or credit card invoice) has already arrived in Netvisor, but the actual receipt is missing. When the user submits the receipt, Netvisor will try to match it automatically.
Incomplete data: Required handling information is missing from the receipt (e.g. purchase date, amount, purchase place, business purpose or posting rows). Note! For ReceiptHero receipts, the description of the business purpose must always be completed if it is missing.
Unallocated: The receipt data has been saved successfully but it has not yet been linked to a bank statement row or a credit card invoice row. Netvisor attempts allocating automatically, but if there are multiple options, it will wait for confirmation.
Allocated: The receipt has been successfully matched to the correct payment transaction and will be removed from the open list to the archive.
Opening and checking a receipt
Open a receipt by clicking the purchase place link in the Open receipts list.
On the receipt handling page you will see the receipt details, receipt image or electronic receipt content, payment transaction details as well as Bookkeeping rows.
Check and complete at least the following information:
purchase place
description of the business purpose
purchase date
amount
currency, if the receipt is not in euros
VAT information
For ReceiptHero receipts, VAT amounts are taken from the receipt and are not edited in the same way as for manually added receipts.
Receipt image
On the right-hand side of the receipt you will see a receipt image, PDF attachment or an electronic receipt received from the ReceiptHero service.
You can zoom the receipt view in and out using the buttons on the page. If the receipt does not yet have an attachment, you can add an image or PDF file by uploading it to the page. Supported file formats are JPG, JPEG, PNG and PDF.
Add or check Bookkeeping rows
On the receipt rows you define how the receipt is recorded in Bookkeeping. Check for each row:
Amount
VAT rate
Row specification
Bookkeeping account
Follow-up object and other calculation objects, if they are used
You can add a new row, delete unnecessary rows and change the account for a row.
Save the changes by clicking Save. Saving will create or update the receipt’s Bookkeeping voucher if the information is sufficient.
Checking the payment method and card details
The payment method of the receipt shows which transaction the receipt can be allocated to.
A receipt paid with a debit card is allocated to a bank statement row.
A receipt paid with a credit card is allocated to a purchase invoice row of the selected vendor’s credit card invoice.
If the card is not recognized or card information is missing, the receipt may not be allocated automatically. Complete the card details on the Settings tab or via the link in the receipt’s payment transaction section.
Information required for the card includes for example:
the last four digits of the card
card holder
user link
card type (debit card or credit card)
a bank account is required for a debit card
a vendor is required for a credit card

Allocating a receipt to a payment transaction
Netvisor attempts to allocate the receipt automatically based on the receipt data, payment card and payment transaction. If automatic allocating is not successful, you can allocate the receipt manually. Manual allocating:
Open the receipt in the Open receipts view by clicking the Purchase place name.
Click the Receipt actions menu at the bottom.
Select Allocate to payment transaction.
Choose whether to search the transaction from bank statement rows (Debit) or purchase invoice rows (Credit).

Check the suggestions made by the system. If the correct transaction is on the list, select it.
If the correct row is not shown in the suggestions, search the transaction with broader search criteria (e.g. date, bank account or vendor).
Select the correct row and click Allocate.
When the information is correct and the receipt has been allocated, the receipt status is updated to Allocated and it moves to the Receipt archive view.
Send a request for additional information
If information is missing from the receipt that only the receipt owner can provide, you can request additional information.
Open the receipt in question.
Open the Receipt actions menu and select Send request for additional information.
In the field that opens, write a clear comment about what information you need.
Send the request.
The receipt status changes to incomplete and a notification is sent to the user’s mobile application.
New receipt
You can also upload receipts to the system directly from a computer:
Go to the Open receipts view.
Click the Add receipt button.
Select a file from the file browser or drag and drop the file into the designated upload area.
Open the created receipt from the list via the purchase place, complete the required information and save.
Note! An image attachment is not added separately to a ReceiptHero receipt. It is not possible to add a new attachment to a receipt that has already been reconciled.

Receipt handling history
From the receipt handling history you can see what has been done to the receipt.
Open the receipt (by clicking the Purchase place name) and click the Handling history link. In the history window you will see for example:

ReceiptHero receipt arrives before the bank statement row
A purchase made with the user’s registered company card automatically brings the receipt into Netvisor when the purchase place belongs to the ReceiptHero network.
If the description of the business purpose is missing from the receipt, the receipt is shown as incomplete. When the user completes the information in the mobile application and the bank statement row arrives in Netvisor, the receipt can be allocated automatically.
QR receipt information is sent from the mobile application
The user reads the QR code of the receipt with the phone camera and submits the receipt via the Netvisor mobile application. If the payment transaction is already in Netvisor and the card details are correct, the receipt can be allocated immediately.
Paper receipt is related to a credit card invoice

General tips and troubleshooting
If Receipt management is not visible in the menu, make sure that the new receipt handling is enabled for the company and that the user has the necessary rights. If needed, log out and back in, or switch company so that the menu is refreshed.
If a receipt remains incomplete, check the required information, receipt rows and any request for additional information. A ReceiptHero receipt also requires a description of the business purpose.
