Receipt processing – frequently asked questions

In this instruction you will find questions and answers related to the new receipt handling

1. When will the new receipt handling be released?

The Service will be released on 16 October 2026.

2. The receipt section is not visible in the mobile app

If you don’t see the blue Scan button on the app’s home screen and there is no Receipts section in the menu, check in the Netvisor browser version, or ask the accountant to check that

  • the user has Receipts edit rights in function-specific permissions

  • the user has been added to the Send permission for receipts list in the receipt settings

  • Netvisor mobile app has been selected as the delivery method in the receipt settings

Also check that the latest version of the app is installed.

When the settings are correct, restart the app so the changes take effect.

3. I can’t edit the receipt I sent

You can no longer edit a sent receipt. The information can only be corrected before sending. If you notice an error yourself, inform the accountant. The accountant can also ask you for additional information. In that case you will receive the receipt back to supplement.

4. The app read the receipt data incorrectly

You can correct the information before sending.

Always check the receipt information before sending. You can no longer edit a sent receipt.

5. The accountant returned a receipt, what do I need to correct?

The accountant will tell you what information is missing when returning the receipt.

In the app, open Receipts → Needs attention and select the receipt marked with the orange "Incomplete information". Complete the requested information and send the receipt again.

6. I can’t find the notification about a missing receipt

You can find missing receipts in the app under Receipts → Needs attention.

This section shows everything that is waiting for your action:

  • missing receipts

  • accountant’s requests for additional information

  • receipts with missing information

7. I sent a receipt by email, but it is not visible in receipt handling

For the time being, receipts cannot be delivered to receipt handling via email.

If you sent the receipt to the eScan address, it ended up in eScan. The accountant will handle it manually and the receipt will not be automatically allocating to the payment transaction.

If you receive a receipt by email, save the file to your device and then add it to receipt handling either with the mobile app or in the browser.

8. The receipt is multi-page, I can’t get all pages included

Only one image or file can be attached to a single receipt.

If the receipt is a multi-page PDF, add it as is. One file is enough, even if there are multiple pages. If the receipt is on paper and several pages long, place the pages side by side on a flat surface in good light and photograph them into the same image. Make sure the text is readable.

9. I sent the receipt to the wrong company

In the mobile app, select the correct company before sending the receipt.

If the receipt has already been sent to the wrong company, ask the accountant to delete it from Open receipts. Then send the receipt again to the correct company.

10. The receipt is not allocating to the bank statement, even though the bank statement is already in the system

First check the timing. Allocating is done in the nightly process when the bank statement has arrived. Before that, the receipt has the status Not allocated. If the bank statement arrived today, wait until the next morning. If bank statements arrive less frequently, for example once a week or once a month, the receipt will remain not allocated until then.

If the receipt is still not allocated, go through the following.

1. Is there a posting rule for the card transaction?

Posting rules created for payment subject codes 720 and 721 completely skip receipt handling. No automatic allocating is done for these transactions.

Check the rules: bank statement view → edit view → Show posting rules. If a rule is offered for the card transaction, receipt handling will skip the transaction.

Delete the rule or refine it with a posting text or amount so that it only applies to those transactions you do not want in receipt handling. General rules such as 721 card payments are usually worth deleting.

2. Has the card been added to the receipt settings?

The card must be on the Payment cards list and allocated to the correct user and bank account, and the card must have the correct last 4 digits.

3. Other reasons

Allocating is based on four pieces of information: amount, date within 1–3 working days, the last four digits of the card and the name of the place of purchase. Allocating may not be done if

  • the bank does not bring the card number to the bank statement, for example Danske Bank

  • the receipt is in a foreign currency so the amount does not match the euro amount on the bank statement

  • more than three working days have passed between the purchase date and the bank statement date

Allocate the receipt manually

There are two ways to do this:

  1. Open the unallocated receipt and select Receipt actions → Allocate to payment transaction. If a PT voucher has already been created for the payment transaction, check that it has the same allocating and clearing account as the KU voucher. This way you avoid double entries.

  2. Open the bank statement and select "Send to automatic receipt handling" from the transaction’s menu.

11. The receipt is not allocating to the credit card invoice, even though the invoice is already in the system

Not all credit card receipts are allocated automatically yet.

Allocate the receipt manually: open the receipt and select Receipt actions → Allocate to payment transaction.

12. My customer cannot see the receipt function in the mobile app

Check four things:

  1. Function-specific rights. The customer must have edit rights for Receipts.

  2. Send permission for receipts. The customer must be on the send permission list in the receipt settings. Only receipts sent by users on this list will end up in receipt handling.

  3. Delivery method for receipts. Netvisor mobile app must be selected in the receipt settings.

  4. The mobile app is installed on the customer’s own phone and is updated to the latest version.

When the settings are correct, the customer must switch from one company to another in the app and back, or restart the app.

Note that handling receipts in the browser version requires Bookkeeping rights and a certain minimum level of function-specific rights.

13. I added a cost type, but it is not visible in the mobile app

First check that you have saved the receipt settings.

Changes are not updated to the app automatically. Ask the customer to restart the app. If necessary, the customer can log out of the app and log back in.

14. The bank statement transaction was posted before the implement — now the receipt came to Open receipts

The receipt is not allocated automatically because the payment transaction has already been posted to bookkeeping in the old way. No open item remains on the allocating and clearing account for the receipt to clear.

Proceed depending on whether the period is open:

The period is open. Edit the KU voucher created from the receipt to match the previously created voucher.

The period is closed. Create an interim voucher with which you clear both sides.

If the receipt is not needed in receipt handling at all, first save the receipt image to your computer, then delete the receipt and attach the image to the previously created voucher. Deletion voids the KU voucher created from the receipt and removes the image.

This situation only applies to the period around the implement. It disappears when all receipts and payment transactions go through the same handling process.

15. Some receipts have been delivered to eScan, but “Receipt missing” appears on Open receipts

The receipt is not allocated automatically because it was delivered via the old route.

Save the receipt image from the eScan view to your computer and attach it in Open receipts to the payment transaction whose status is Receipt missing. A KU voucher is created from the receipt, which clears the payment transaction’s PT voucher on the clearing account.

This situation only applies to the period around the implement. It disappears when all receipts and payment transactions go through the same handling process.

16. Why is VAT visible even though the customer is not VAT liable?

The receipt data shows what is on the receipt. If the receipt has a VAT breakdown, it is also visible in the receipt data.

The information on the posting rows is recorded to bookkeeping. If the company is not VAT liable, there is no VAT on the posting rows.

17. Dozens of “Receipt missing” credit card invoice rows appeared in Open receipts that have already been handled

When the credit card company is linked to the card in the receipt settings, the next nightly process goes through that vendor’s invoice rows within a month and raises each receiptless row to Open receipts with the status Receipt missing. Also those that have already been handled.

If the invoices have already been handled and no receipts are expected for them anymore, open the credit card invoice, select all rows and choose Do for selected → Remove from receipt handling. The rows are removed from Open receipts and no longer searched for receipts. After this, the Receipt column on the row will say No receipt handling.

If a receipt has already been allocated to the row, Netvisor will ask for confirmation before deletion, because the allocating will be cancelled at the same time. This action requires posting rights. The row can be brought back to handling with Add to receipt handling.

This situation only applies to the period around the implement.

18. All “Receipt missing” payment transactions are only visible to me and the customer doesn’t see them in the app

The cards have not been registered in the receipt settings or the card has not been allocated to a user. In that case, a permanent warning about unregistered cards is visible in Open receipts.

Add the cards under Purchases → Receipts → Settings → Payment cards and allocate each card to a user. After this, new receiptless payment transactions will appear for the cardholder in the Needs attention list in the app.

Payment transactions that are already in Open receipts are not automatically moved to the cardholder. Select them in Open receipts and choose Do for selected → Set owner.

19. The same receipt is both in eScan and receipt handling

The sender has used both routes. The receipt in receipt handling is the one that is allocated and from which the voucher is created. Delete the copy in eScan and do not create a voucher from it.

This situation only applies to the period around the implement.

20. The customer sent a receipt paid in cash or with their own money via the app

Receipt handling does not process these for the time being. The receipt will remain in the Not allocated status waiting for a payment transaction that will not come.

Delete the receipt from Open receipts and create a voucher via eScan as before. Instruct the customer to send cash receipts and receipts paid with their own money that are not reimbursed from the app via the Document to eScan channel, not to receipt handling. If the expense is reimbursed, the correct route is a travel expense report: the sender selects Paid with own card in the app.

21. If my customer’s receipts currently come into the system via an integration as KU vouchers, will this change?

You can continue to use existing integrations as before.

22. If the card is not specified / will it just remain unallocated? If clearing account 1777 is used, do old receipts and charges have to be allocated or will this cause problems?

If the automation or the user does not select the card in the mobile app, it can be added to the receipt manually. We recommend using some other clearing account for receipts than 1777 so that receipt transactions do not mix with other transactions on the clearing account.

23. At what point in the process or settings are cost centres added? Fixed behind a person or must they be added manually for each receipt?

For the time being these are still set manually, but this is on the further development list.

24. Can a deputy be set for the default owner of receipts / does it follow the substitution settings for purchase invoices?

Substitutes cannot be defined for receipts, but the owner can be changed per receipt.

25. The customer sends receipts with a scanner, but the bank statement does not come into Netvisor. How will such receipts be handled in the future?

A feature is coming for this that will allow receipts to be marked as no longer waiting for a payment transaction.

26. If all credit card receipts come from online purchases, i.e. receipts are received as PDFs by email, how will they be delivered in the future, since they have now been sent to the eScan address by email?

These can still be delivered by email to the eScan address, from where they can be taken into the new receipt handling.

27. Can separate clearing accounts be added as allocating accounts for bank and credit cards?

It is not possible to define separate clearing accounts for bank and credit cards in the receipt settings, but any account (or a completely new account) from the specification of accounts can be selected as the shared clearing account.

28. How to get missing receipts into the system if there is no time to wait for the next nightly run, as bookkeeping + VAT should already be done?

Receipts are available in the system as soon as the user has sent them via mobile. The receipt can be allocated to the desired transaction manually, so you do not need to wait for the nightly run.

29. What if the credit card receipt has not been delivered before the period is closed? Must the row be removed from receipt handling so that it can later be handled via the clearing account?

The absence of a receipt does not prevent posting the purchase invoice. The row should not be removed from receipt handling, as it automatically goes to the clearing account, from where it will be processed in the period when the receipt arrives.

30. How are postings made if, for example, receiptless credit card invoice rows remain in a closed period?

The absence of a receipt does not prevent posting the purchase invoice. The row should not be removed from receipt handling, as it automatically goes to the clearing account, from where it will be processed in the period when the receipt arrives.

31. If you want certain purchases that are charged every month to be posted directly from the bank statement without going into receipt handling, what needs to be done? These never receive receipts.

For these transactions you can keep the posting rule, in which case the rule will bypass the receipt handling automation.

32. How old transactions can be fetched, for example from credit card invoices? If the customer has undelivered receipts from the spring and would deliver the receipt with the new method now?

Bank and credit card transactions are fetched 60 days back. If the automation does not find the transaction, these can be allocated manually.//
