Scanner Netvisor mobile app

Scanning receipts is done in the Netvisor Mobile app. You will see the scan button “Scanner” at the bottom of the app home screen once you have the rights to import receipts.

Adding receipts step by step

  1. Open the scanner
Go to the app home screen and select Scanner from the bottom.

  2. Upload the receipt
Take a photo of the receipt with the app’s scanner or choose an existing image from your phone’s gallery. If you want, you can crop the image in the app.

  3. Select type / payment method
Select one of the following options:

    • Receipt for a transaction (paid with company funds)

    • Receipt for reimbursement (paid with personal funds)

    • Document to eScan (coming)

Option A: Receipt for a transaction (paid with company funds)

With this option, the app automatically recognizes the vendor name, date, total amount, currency, and VAT amounts and percentages from the receipt. You can review the receipt details at the top of the screen and view the attachment image on the adjacent tab.

  1. Enter a specification in the field “How is this related to your business?”

  2. Select Payment method.

  3. Select Cost type.

  4. Finalize saving by pressing the Create receipt button.

After sending, the receipt is transferred for the accountant to review. If necessary, the accountant can request additional information about the receipt via the Netvisor browser version.

Responding to a request for additional information in Netvisor Mobile:

  1. Attention notification on the home screen and in the app
A request for additional information sent by the accountant appears in the Requires attention section at the top of the app home screen.

  2. Viewing the comment
Click the section widget to access the incomplete receipts. Select the desired receipt to see the comment left by the accountant.

  3. Correcting the information and resending
Update the receipt’s specification field or other requested information according to the comment and send the receipt again to bookkeeping.

Option B: Receipt for reimbursement (paid with personal funds)

With this option, the receipt is saved for reimbursement.

  1. Enter a title for the travel expense report/reimbursement (and a description if you wish).

  2. Select the saving method:

    • Attach the receipt to an existing travel expense report (“Select existing”):

      • The app retrieves your most recent reimbursements, from which you can choose the travel expense report the receipt belongs to.

      • Select the expense type. The app automatically recognizes the price in euros and the VAT percentage from the receipt.

      • If you wish, you can add other expenses at the same time.

      • In Additional options, you can add a more detailed description for the transaction or, for example, a calculation dimension.

      • Finalize by pressing the Add receipt button.

    • Create a new reimbursement:

      • Select the expense type for the receipt. The app automatically retrieves the price in euros, the quantity, and the VAT percentage from the receipt.

      • If you wish, you can add other expenses at this stage.

      • In Additional options, you can add a more detailed description for the transaction or, for example, a calculation dimension.

      • Finalize by pressing the Add receipt button.

Notes on receipts paid with personal funds:

  • The user must be added as the company’s employee and must have the Travel service enabled.

  • When a receipt paid with personal funds is saved, the mobile app automatically creates a travel expense report for reimbursement.

Option C: Document to eScan (coming)

With this option, you can transfer documents such as contracts or minutes to eScan material and save them in PDF format on a voucher or purchase invoices.
