The ValueFrame purchase invoice line transfer interface allows you to conveniently transfer expense or rebilling information from purchase invoices received in Netvisor to ValueFrame projects.
Before purchase invoice lines can be transferred between systems, the Netvisor-ValueFrame connection must be activated in both systems. The activation must be done even if the company is already using the transfer of sales invoices from ValueFrame to Netvisor.
The activation begins by selecting Extensions > ValueFrame > Activation and settings. Before activation, software interface credentials must be created in Netvisor. Instructions for creating software interface credentials can be found on the help pages: Software interface credentials.
The activation of the purchase invoice line transfer interface itself consists of three steps:
- Save the software interface credentials to ValueFrame. "Activation and settings" page displays the Netvisor software interface credentials of the user who is performing the activation (see image below, point 1). Also provide the software interface credentials to ValueFrame support to enable the integration. If the ValueFrame integration has already been activated earlier, for example for transferring sales invoices, the credentials do not need to be provided again.
- Select the accounting target header under which projects are brought from ValueFrame. Ensure from ValueFrame that sub-projects are transferred through the integration to Netvisor as accounting targets. Select the Netvisor accounting target header (2) from the dropdown menu under which ValueFrame sub-projects are brought. When transferring purchase invoice lines, the line information is targeted to the ValueFrame sub-project based on this accounting target.
- Select the default settings for the transfer. Additionally, in the settings, you can select the default settings for purchase invoice lines (3). This way, rebilling information does not need to be separately added to each line in the transfer interface, and after this, the lines can still be mass processed.
"ValueFrame default product" -section selects the product used by default on transferred purchase invoice lines (see image above, point 4). The default product is searched either by typing the product name in the field or selecting the product from the dropdown menu that opens from the magnifying glass.
"Default transfer method for expenses" -selection defines the default setting for transferring expense information of purchase invoice lines to ValueFrame (5). "Only expenses" -selection transfers information to ValueFrame only for tracking work expenses. "Pass-through billing" -selection transfers the total price of the purchase invoice line to ValueFrame for pass-through billing. Additionally, the resale price can be calculated with a price coefficient before transferring information to ValueFrame by selecting "Price coefficient" -selection. The selection calculates the total price of the purchase invoice line according to the entered coefficient, which can be given with four decimal precision."Default description transferred to ValueFrame" -selection defines what information from the purchase invoice and purchase invoice line is added by default as the description of the transferred expense line in the transfer view and ValueFrame (6). The description displayed in ValueFrame is formed from the selected options: "ValueFrame product name" (Product name), "Purchase invoice line product name, "Line description" and/or "Invoice information".
- Allowing interface resources. Netvisor automatically enables the resources needed by ValueFrame.
Once all steps have been completed, confirm the activation by clicking the "Start use" button at the bottom of the page (7). After activation, you can ensure that the ValueFrame integration is active from the section "1. Save software interface credentials to ValueFrame".
