1) Establish the educational institution's training environment and contact person

A separate Netvisor environment is established for the educational institution on the Netvisor training side (https://koulutus.netvisor.fi). A contact person from the educational institution is added as a user to the environment with extensive permissions.

2) Establish the teacher as a user and copy their permissions

When a new teacher starts, they are established as a user (guide: Establishing a new user note that personal identification numbers are not used in the training environment). The teacher is established with their own name and the educational institution's abbreviation in front: [institution].firstname.lastname. The email address is set to the teacher's educational institution email address. The phone number can be fictitious (it is visible to students through Netvisor).

Permissions are copied to the teacher using the permission copying tool (guide: Copying permissions) by the contact person.

In the future, the contact person or already added teachers can establish new teachers as users in the above manner.

3) Establish the teacher's own company under the educational institution

After logging into the educational institution's environment, the teacher establishes their own company (company menu > service management > open a new client company). If the teacher has multiple courses, a separate company can be established for each course.

The teacher's accounting firm is named: the educational institution's abbreviation, the teacher's first name, and the first letter of the last name, followed by the word Accounting Firm A. (Institution Pirkko O Accounting Firm A).

4) Update the teacher's company to an accounting firm

Once the company is established, the teacher sends a support request to Netvisor's customer service ([email protected]) stating the name of the established company and requesting customer service to change the established company to an accounting firm. This is crucial so that students can establish their test companies under the teacher's company, and the teacher gets permissions to all students' test companies.

5) The teacher establishes students as users in their own accounting firm

If there is a need to give other teachers access to the accounting firm, other teachers should be added/established in the accounting firm (step 2) at this stage, so they also get access to the companies established by students.

The student is added to the teacher's company with the following settings:

1. The teacher names the student as follows: Institution.Firstname.Lastnameyear. (e.g., Institution.Simo.Salminen2019)

2. The teacher sets the student's password (e.g., "Netvisor", which the student will change later. The student changes the password in Netvisor from the top right corner under their name > personal settings > enter new password, confirm, and save).

3. The student is given a validity period of the planned study time + three months

6) Students establish their own companies and make necessary initial settings

    1. The business ID is generated using the generator at: https://telepartikkeli.azurewebsites.net/tunnusgeneraattori

    2. The company name and contact information can be anything

    3. Choose a company form that determines the chart of accounts to be used (this choice cannot be changed retroactively)

    4. Any turnover class can be selected

    5. Choose the Premium package and select all additional services

    6. When establishing the company, create an optional user for whom a personal identification number can be set using the ID generator

    7. Add permissions for sales and purchase ledgers (Company menu > Sales and purchase ledger permissions)

   8. Establish a virtual environment bank account and assign it an accounting account (Company menu > Bank accounts > Create a virtual environment bank account). Select "Account available on invoice forms".

7) The teacher changes the students' permissions to be more limited

After establishment, the student's permissions are modified once the student has logged in once and established their practice company:

When the student logs in after the permissions have been modified, they will receive the following error on the homepage but can proceed to their own company as shown in the image:

After this, the student can set their own company as the default login company from the section shown in the image.
