Opening a Maventa account simplified
- When a new company is opened, it is considered whether to open a Maventa account for the company in Netvisor. The opening considers whether the company will have sending (sending sales invoices as e-invoices and pdf eLetter sending). Reception means that you can receive e-invoices and purchase invoices through the scanning service. The Maventa account must be confirmed by a person who can represent the company. They will receive a separate email that must be confirmed with an electronic signature.
- The account does not have to be opened when establishing the company, and it can be done later from the store.
- From the store, this can be opened from the Maventa e-invoicing section. Here, it is also considered whether the company will have sending and reception or just sending, and an email address must be provided for who will confirm the account.
- A message is sent in the background to Maventa from the opening.
- It normally takes about a couple of business days for the Maventa account to open. The information updates automatically in Netvisor.
- The account will not open for use if the company already has Maventa in use, which can be checked, for example, from the verkkolaskuosoite.fi service, and if the company already has a Maventa operator, then this will not open automatically. This is also visible in the company's billing address view, and the following notification will appear. The information will be visible the next day after the opening.
- In this case, you must contact tuki.netvisor@visma.com and request to link the account to Netvisor. If the account remains in use in the old program for sending, this must also be reported in the support request. Once we have received the support request in writing, we will then send the user a transfer form to be signed, and once this is done, a message is sent to Maventa support. We will then handle the transfer together to Netvisor, and the account will open.
Opening a Maventa connection when establishing a company
The Maventa connection can be set to open when establishing a company. From 1.7.2022, opening a Maventa e-invoice connection to Netvisor requires identification in accordance with the law. The enhanced customer identification obligation is based on the money laundering law and applies to several different industries. Strong identification aims to prevent money laundering and terrorist financing.
If the Maventa connection is to be opened, the email address of the person with the company's representation rights is entered during the company establishment phase, to which Visma Sign's electronic identification request is sent. The person with the company's representation rights approves on behalf of the company Maventa's Service Terms and the sending and receiving of electronic documents, as well as the opening of the Maventa account bank network connection for the company for sending and receiving e-invoices through Finnish banks.
An accounting firm can open a Maventa e-invoice connection for its client (end customer) if the end customer has authorized the accounting firm to open the e-invoice connection. Authorization can be, for example, part of the service agreement between the accounting firm and the end customer or a separate power of attorney. In principle, the authorization should be written and sufficiently specified so that it can be proven if necessary. The accounting firm is then responsible for having the necessary representation rights to make a binding e-invoice connection opening request for the end customer and for strongly identifying the end customer for whom the e-invoice connection is opened.
Approval is done in the Visma Sign service and requires strong identification. After this, the Maventa e-invoice connection opens for use, and the account opening occurs in an automatic run on the same day. The account will be fully operational within a couple of business days, provided the company has not previously had a Maventa account in another program. If the company has an existing Maventa account, approval is not required, and the Maventa account can be transferred to Netvisor for use by our customer service.
When a company is opened in Netvisor, the following points affect whether the Maventa connection is opened. These are on by default, but if you remove the checkmark, you can prevent the opening of the Maventa connection.
If you also check the lower box and are a direct customer of Netvisor, Visma Solutions' invoice will come directly as an e-invoice to the company's purchase ledger.
Once the connection is in place, the Maventa account will be ready to receive e-invoices arriving from the operator network, as well as invoices arriving through the scanning service. The scanning service cannot be opened separately without the Maventa connection.
Opening a Maventa connection through Netvisor Store
If the Maventa connection has not been opened, activation occurs from the Netvisor Store under the Electronic Service Channels menu and from the Maventa E-invoicing > Activate. Choose whether you want to open sending and receiving or just sending. From 1.7.2022, opening a Maventa e-invoice connection to Netvisor requires identification in accordance with the law. If an error message occurs during the connection formation, please contact Netvisor's customer service directly.
Maventa account bank network connection
To receive e-invoices arriving from the bank network on the Maventa account, a bank network connection must be opened for the account. The bank network connection opening request is automatically forwarded when the Maventa account reception opens, and it normally takes 1-3 banking days for the connection to open. When the Maventa account bank network connection is confirmed as opened, Maventa's e-invoicing information is updated in Netvisor's billing addresses.
By using e-invoice reception through Maventa, you save on possible bank service fees that the bank charges your company for e-invoice reception.
Pricing
The pricing of events created through Maventa is based on the number of monthly electronic events of the company. Event fees are priced according to the current Netvisor price list. Events are billed in Netvisor's service billing.
Maventa API keys
Extensions > Maventa > Maventa API keys
By default, the account is linked for use with Netvisor's general credentials, and this is sufficient for sending and receiving invoices from Netvisor.
If the account is linked to Netvisor with the user's own API keys, add the API key and the company's UUID to the reserved fields. You can find the Maventa account API key and the company's UUID from Maventa. Enable the import of purchase invoices.
Fetching purchase invoices from Maventa
Extensions > Maventa > Fetching purchase invoices from Maventa
"Manual transfer of purchase invoices" -menu allows you to view and manually fetch purchase invoices that have arrived on the account. To do this, the user must have rights to approve purchase invoices (Sales and purchase ledger rights).
Invoices can be searched for the desired time period. Once the search is complete, you can transfer invoices that are not already in Netvisor by selecting them and clicking the "Transfer selected invoices to queue" button.
PDF eLetter printing service credentials
Extensions > Maventa > Maventa API keys > PDF eLetter printing service credentials
From 1.2.2024, documents sent to the PDF eLetter printing service will go through Maventa. The Maventa connection of a company using Netvisor must be linked to Netvisor for sending so that document sending to the PDF eLetter printing service is successful. If the company's Maventa account has previously been used in another system where prints have gone through Maventa, the company's printing service account should be manually linked to Netvisor with a username and password. There is then a notification in the view:
We have identified that your company's Maventa account already has a registered account for the PDF eLetter printing service (mass printing service). Please add your printing service account credentials to the settings page so we can link your account to Netvisor. If the account credentials are not known, please contact Maventa's customer service (support@maventa.com)
Maventa connection exceptional situations
Maventa account already exists and is to be transferred to Netvisor.
If an existing account is to be linked to Netvisor, we recommend contacting Netvisor's customer service regarding the matter. We will contact Maventa support and transfer the existing account for use in Netvisor. Please note that this does not close the Maventa account linkage to the old system. To break the previous linkage, you must contact the system from which the account is transferred to Netvisor. If the previous linkage is not broken, this may cause double costs for receiving purchase invoices in both systems.
Maventa account used in two systems at the same time.
A Maventa account can be used simultaneously in two different systems. However, it should be noted that if purchase invoice reception is open in two systems at the same time, purchase invoices may be directed only to one system depending on which system manages to fetch the invoices from Maventa first. Purchase invoices may also be directed to both systems, causing double costs. To avoid this, ensure that purchase invoice reception is open only in the desired system.
Maventa account already exists and is not to be connected to Netvisor.
The ownership and settings of the Maventa account are kept unchanged, and the account is not connected to Netvisor at all. In this case, invoices cannot be received in the Netvisor service through Maventa (the scanning service also does not work), business e-invoices (B2B) cannot be sent, nor can sales invoices sent through the printing service be sent through Netvisor.
Maventa account exists and invoice reception is to remain in another system, and sales invoice sending is desired in Netvisor.
A Maventa account can be used by multiple different software. For sales invoice sending, a connection is made to Netvisor by Netvisor's customer service. Please contact our customer service about this at tuki.netvisor@visma.com
Netvisor usage ends and Maventa account is desired for company's own use.
If you stop using Netvisor and want the company's Maventa account for the company's own use, please contact Maventa's customer service at tuki.netvisor@visma.com
Stopping purchase invoice reception from Maventa to Netvisor
Purchase invoice reception can be stopped from Netvisor Store under Maventa e-invoicing -> Edit -> Only sending
Removing Maventa account linkage to Netvisor
If you do not want to send sales invoices or receive purchase invoices through Maventa from Netvisor, you can break the Maventa connection through Netvisor Store under Maventa e-invoicing -> Disable. NOTE! These actions will only break the Maventa e-invoice connection for Netvisor the following night, but the company's Maventa account will still remain valid on the Maventa e-invoice operator's side. If the account is to be completely closed also on the Maventa e-invoice operator's side, please contact Netvisor's customer service to close the account. If the account remains valid on the Maventa e-invoice operator's side, it can be linked to a new billing/accounting system. If the account is not linked to any system in the future and is left valid, purchase invoices may still be directed there from billers, which in this case will be ignored.
Closing Maventa account completely
If you do not want to send sales invoices or receive purchase invoices and want to completely remove the Maventa account from use, please contact Netvisor's customer service at tuki.netvisor@visma.com
