The formula for holiday calculation method can be checked and edited in the holiday calculation settings.

Salaries > Settings > Holiday calculation settings > Holiday calculation methods

Netvisor's ready-made holiday calculation method formulas include "Average hourly earnings (HolidayKTA) pay period 2 times / month" and "Average hourly earnings (HolidayKTA) pay period month", which contain salary types for calculating holiday average hourly earnings, a multiplier table, and earning periods.

The formula for holiday pay accrual and the salary types considered in accrual earnings are visible under the "Accrual" heading.

The holiday pay is paid using the holiday price, whose calculation formula and the salary types considered in earnings can be checked under the "Holiday price" heading.

The program calculates the holiday average hourly earnings in the background of payroll during each payroll process, which is visible on the payslip "Payroll accountant view" tab. From the payroll accountant view, you can also check the formula calculation in accrual earnings and the salary types considered in earnings, which serve as the basis for KTA and Accrual KTA calculation.

The program can interpret the calendar and understand the change of holiday accrual year always on April 1st. The program automatically changes "Accrual KTA" value to KTA -value when the holiday accrual year changes and knows how to use the correct holiday price for paying holidays.

Thus, the change of holiday accrual year does not cause any separate actions for the payroll accountant.

Holiday-kta reporting by person

In Netvisor, you can retrieve a payroll report of holiday average hourly earnings by person using the salary type statistics.

Salaries > Payroll > Reporting > Payroll reports > Salary type statistics

The report can be retrieved for the current holiday accrual year's current Holiday-kta using the Salary type statistics by selecting the dates of the most recent calculated pay period. The range can be made, for example, according to the payment date.

When taking the Holiday-KTA report, it is important to view the report always only for a period of one pay period, not for the entire accumulation date range.

If the values are retrieved from a date range, the report will show the total sum of all pay periods included in the range, meaning if the range includes, for example, 8 pay periods, the report will show the sum of all 8 pay periods' holiday-KTA. This is because holiday-KTA is not an actual earnings salary type.

You can limit the reported persons either by selecting a specific Salary model or report only one person by selecting the employee from the dropdown menu.

Remember to select "Show also non-reportable salary types".

Press Show report button.

Example salary type statistics report

In the example, we examine the situation in March 2022, before the change of holiday accrual year. In the example, the pay period is twice a month. On the Payslips and pay periods page, the pay periods for the salary model are defined, where the payslips are created.

Salaries > Payroll > Payslips and pay periods

  • Report format: Salary type statistics
  • Period: Limit by salary payment date

On the opened report, you can see Salary type statistics by person tab the employees' holiday-KTA with the salary type "Accrual KTA" value according to the situation after the calculation of the selected period and the previous holiday accrual year's holiday-KTA value with the salary type "KTA". KTA salary type is visible on the report if the employee has been paid and accumulated holiday earnings from the previous holiday year. If the employment started during the accumulating holiday year, KTA salary type is not found due to missing earnings.

The report data is retrieved from the employee's payslip for the same date range pay period from the "Payroll accountant view" tab.

When the holiday accrual year changes, when calculating the first pay for the pay period that is on the new holiday accrual year, the program can automatically consider the change of holiday accrual year on April 1st and transfers the Accrual KTA value to KTA value.

This can be seen when retrieving the previous salary type statistics report on the next holiday accrual year. In the example, the pay period from 21.3.-3.4.2022 had a payment date of 8.4.2022. So in the report selections, only the reporting period changes, other selections remain the same.

In the example, the value of the "Accrual KTA" row seen in March 2022, 15.61€, now appears on the "KTA" row after the holiday accrual year has changed. Similarly, the program starts calculating the new holiday accrual year's holiday-KTA value on the "Accrual KTA" row, from which now the value according to the April 2022 pay period is visible.

The information comes from the first payslip of April, which has been created in the payroll process.

Checking holiday-kta calculation bases

From the payroll Salary type statistics report, you can also check the salary types considered in the earnings of the holiday calculation method.

From the report, you can check the hours and euros from salary types that are the basis for the calculation of Accrual KTA and KTA:
KTA

  • Salary types considered in earnings
  • Salary types considered as divisor

Accrual KTA

  • Salary types considered in accrual earnings
  • Salary types considered as accrual divisor

Example checking kta salary type

If you want to check only the earnings of salary types from the holiday accrual year, you can retrieve a report by salary type from the holiday accrual year 1.4. - 31.3. Below is an example screenshot where information is retrieved from desired salary types. By holding down the ctrl key, you can select multiple desired salary types simultaneously for the report.

In the example, the salary types that are the basis for the calculation are evening allowance and time work earnings for the entire holiday accrual year, the selected salary types are considered in the salary type Earnings considered in earnings accumulation.

In the report, the salary types affecting Accrual KTA calculation for the target person are Time work earnings. From these, the Accrual KTA calculation can be checked.

  • Evening allowance and time work earnings euros = Accumulated euros
    4993,60 €
  • Time work earnings hours = Hour divisor
    320 h
  • Accumulated euros / Hour divisor = Holiday-KTA
    4993,60/320 = 15,61 €

Example checking accrual kta salary type

In the example, the salary types affecting Accrual KTA calculation for the target person are evening allowance and time work earnings. From these, the Accrual KTA calculation can be checked. In checking the Accrual KTA salary type, information is retrieved from the accumulating holiday year.

  • Time work earnings euros = Accumulated euros
    1244 €
  • Time work earnings hours = Hour divisor
    80 h
  • Accumulated euros / Hour divisor = Holiday-KTA
    1244/80 = 15,55 €

In the example case, a total of 6 holiday days have accumulated from 1.4.2021 - 31.3.2022, corresponding to a coefficient of 44.50 in the salary model's multiplier table.

Thus, the holiday pay is: 15,61 € x 44,50 = 694,65 €
Resulting in a holiday price per day: 694,65/6 = 115,77 €/day

When 6 holiday days are paid to the employee, the payslip information "Payroll accountant view" tab shows the new "Holiday price", which corresponds to the holiday price calculated from the report.
