This guide explains how to update prices and other information, such as product names and descriptions, in the Netvisor product register using the Product Information Import function. The product code is a mandatory piece of information for allocating, because the system uses it to find the correct product in the register.
You can open the product register by selecting Products > Product Listing. In the product listing, it is possible to update product prices by selecting "Update selected product prices with price factor" from the menu.
Prices in the Netvisor product register can also be updated using the Product Information Import function. With the help of the instructions below, it is easy to perform a price update for the company's product register or other data updates allocating the product register, for example desired product names, descriptions, and other fields supported in data import, except for the product code.
In a price list or other update, at least the mandatory information is needed, as well as the product code for allocating. The system uses the product code to find the correct product in the register.
The following describes step by step how to copy the information of the product group to be processed from Netvisor to Excel, edit the prices, and import the updated information back to Netvisor using the Product Information Import function.
- Open the product register by selecting Products > Product Listing.
- Search the product register by the product group name to display the products of the product group to be processed.
- Click the "Select fields visible in the table" link and leave visible only the following fields:
- Code
- Item
- Price
- Select the products visible in the table with the mouse and copy the information to the clipboard (CTRL + C or right mouse button and "Copy").
- Open Excel and a new workbook. Right-click on the Excel workbook and select "Paste Special". Choose the paste method "Unicode text" or "text".
Note! Different browsers behave differently regarding copying:- When copying and pasting through Internet Explorer 7, all information goes into the same cell.
- Through Mozilla Firefox, the information goes into their own cells, but hidden information such as description, calculation allocating and others are also included.
- Opera does not transfer any extra information, but even there the first row is copied to a different position than the lower ones. This can be resolved by moving the other rows to the same level as the first one.
- Process the table so that it is neat: remove all extra information and leave only the columns and rows containing the data to be imported.
- Increasing the price by ten percent is conveniently done using Excel's calculation features. Add the price increase, for example, in a separate column with a formula that calculates the new price based on the old price.
- Once the formula is set in the first cell, grab the corner handle of the cell with the mouse and drag down to the last row of the table so that the formula is copied to all products.
- Next, copy the newly calculated prices and paste only the values using the "Paste Special" function over the original prices.
- Remove the extra columns from Excel (for example, the one where you wrote the formula in step 7) and ensure the cells have the correct number of decimals.
- First, save the Excel file as a normal Excel workbook. Then use the "Save As" function, choose the file format CSV, and answer Yes to Excel's two questions. Close Excel and answer No when closing (do not overwrite the original Excel file!). Then start the Product Information Import function by selecting Data Import > Product Information Import.
- Select the CSV file you saved in step 11 as the file to be imported and click the "Import Data" button.
- Next, tell the Data Import function what information you are importing (for example prices, names, or descriptions) and click "Update Selected Fields".
- If a product corresponding to the product code is found in the register, it will say "Edit" next to it. From the adjacent link, you can check what row it refers to if desired (open the link in another window with the right mouse button if necessary). From this screen, it is advisable to continue with the button "Process only the above editable rows and selected fields".
- Product prices have been updated correctly in the register.
Frequently asked questions
Question: Why is the product code mandatory when updating the price list or other product information?
Answer: The product code is needed for allocating. The system uses it to find the correct product in the Netvisor product register whose information is being updated.
Question: Can I update only product prices using the method described in this guide?
Answer: Yes. You can update only the prices or at the same time also other information allocating the product register, such as product names, descriptions, and other fields supported in data import.
Question: What should I do if my browser pastes the copied data into a single cell in Excel or brings in extra information?
Answer: Browsers behave differently when copying. Internet Explorer 7 pastes all information into the same cell, Mozilla Firefox also brings in hidden information, and Opera copies the first row to a different position than the others. It is recommended to try different browsers and choose the one that transfers the data to Excel in the desired way, and to clean up any extra information from the table.
Question: Why does the Excel file need to be saved both in Excel format and CSV format?
Answer: Saving in Excel format preserves the original workbook in an editable form. CSV format is needed for the Product Information Import function. When closing Excel, you should not overwrite the original Excel file with the CSV file.
Question: How do I know that the system has found the correct products to update?
Answer: When the Product Information Import function finds a product corresponding to the product code in the register, the row shows the entry "Edit". From the adjacent link, you can check which product the row refers to before continuing with the button "Process only the above editable rows and selected fields".
