This guide instructs you on how to install and configure the WooCommerce online store and Rackbeat integration to automate data transfer between these systems.

You can integrate Rackbeat with your WooCommerce account so that data is automatically transferred between these two systems. The integration found through Rackbeat's Applications is free. Below is our guide on how to install the integration between Rackbeat and WooCommerce.
System > Applications > WooCommerce plugin settings
The settings require Consumer Secret, Consumer Key, and Shop URL
These are obtained from WooCommerce settings under the Advanced tab
- Legacy API > check the box Enable the legacy REST API
- REST API > Add key
- Give the key a name and permissions to Read/Write > Generate API key
- After this, the necessary Consumer Key and Consumer Secret will appear on the screen, which are copied to Rackbeat
- Additionally, the Shop URL field in Rackbeat settings must be added with a link from WooCommerce by copying from the address bar as shown in the image below
After this, you can click Activate integration in Rackbeat and add the integration settings
Start-up synchronization of products
- Either from WooCommerce to Rackbeat or no synchronization
- If products are synchronized, images will also be transferred. If products are already found in Rackbeat, synchronization is not necessary
- Models/structures are not supported in the interface, so it is recommended to handle models in Rackbeat as independent products
Product settings
- Creation and maintenance of products, choose which will be the Master registry for products in the future
- WooCommerce is recommended as the master because Rackbeat does not transfer sufficient information to the online store, e.g., tax rates, images
- Sometimes there is no automatic information, e.g., if the online store and Rackbeat are for different customer groups (C2C and B2B), there may be different prices
- If Rackbeat is chosen as the master, it can be selected whether the product description is transferred or not
- Establish three products that are selected for Product for shipping, for fees, and at a discount. Add with product code to fields.
- Standard product group
- New products will move to this product group when information is transferred from WooCommerce to Rackbeat
- Stock status for synchronized inventories (from Rackbeat to WooCommerce)
- Available, consider reserved
- In stock, inventory quantity
- Do not sync
WooCommerce-Rackbeat integration reports the inventory balance to the online store whenever there is a change in the product balance in Rackbeat, i.e., if the product comes into or leaves the warehouse.

Order settings
- Order number when creating new order in Rackbeat
- From WooCommerce, NOTE! the series must not overlap with Rackbeat's number series at any point, there must be a sufficient difference in the number series
- Automatically based on Rackbeat numbering
- Status of new orders created in Rackbeat
- The most commonly used is Booked and ready for shipping and Booked, shipped and invoiced
- Standard location for order lines
- If the product does not have a location on the product card, this is used as default
- Status for WooCommerce orders to synchronize
- Choose which status orders are transferred or if they are transferred at all
- The most commonly used is the status “processing”, i.e., as soon as the customer has created the order in WooCommerce. Some do not want to use the reservation function in Rackbeat, so they are transferred only in the “completed” status
- Based on this, it is also worth choosing the previous setting Status of new orders created in Rackbeat. So after this, the order gets the status set in that section.
- If “completed” is selected, i.e., the order is fully processed in WooCommerce, and the status is “booked, shipped and invoiced”, nothing needs to be done for the order in Rackbeat and the inventory decreases.
- Standard order layout, choose the desired layout
- Finally, three checkboxes (make selections as desired). The middle option automatically creates an invoice in Rackbeat when the order is delivered.

Customer settings
- Standard payment term (most likely paid in cash, as many b2c online stores do not send invoices, so choose cash?)
- Standard employee
- It is recommended to establish an employee “Online store”
- Standard customer group
- It is also recommended to establish a separate group “Online store”
- VAT zone for customers outside the EU
- Choose the bottom option
Finally, activate the integration.
