CONTENTS

Adding a new bank account

You can create bank accounts for the company via Company Menu > Bank Accounts > Add Bank Account.

  • Add the account number in IBAN format. When the account number is entered, the swift code will automatically appear if it is a Finnish bank account. You can also add a foreign bank account if desired. In this case, the information must be updated in all fields manually. More about foreign, i.e., unsupported bank accounts, and currency accounts at the end of the guide.
  • You can set the currency, default is EUR
  • The bank will automatically appear according to the account number if it is a Finnish bank
  • You can set an internal note for the bank account, which will be visible in the bank account view. If the account number needs to appear on the sales invoice, check the box "account available on invoice forms"
  • The bank traffic between the bank account and Netvisor, such as payments from Netvisor and the arrival of account statements, is agreed upon with a payment traffic agreement made with the bank, more on this in the guide Agreeing on payment traffic and agreement templates

  • Once the bank account is added, it will appear in the bank account view. Sender's bank accounts are sorted alphabetically by bank name in the e-invoice message. The last bank account in the order will be the sender's iban account number in the message. More about the formation of the e-invoice message is explained in the guide Formation of the e-invoice message in Netvisor.
  • There is no limit to the number of bank accounts.
  • The "On Invoice" column quickly shows which accounts appear on the sales invoice. The status of the bank account indicates whether the account is supported in Netvisor or not. Foreign bank accounts appear as "manual" status.
  • When the account is opened in edit mode, its settings can be changed. The accounting account is set after adding the bank account by opening the account in edit mode. NOTE! If the accounting account is already in use with a created payment method, it cannot be selected as the accounting account for the bank account. At this point, either another accounting account should be used, or the payment term using this account should be edited. Also, if the desired accounting account has been used on a deleted bank account, it cannot be added to a new bank account as the accounting account. In edit mode, the account's payment identifier can also be changed if it deviates from the norm. The payment identifier is automatically 0+y-tunnus. If the correct payment identifier is not found in the menu, please contact customer service at [email protected].

The account can also be closed from the edit view by clicking the "Deactivate" button. The account should be closed if you want to stop the arrival of bank materials to Netvisor. Note! The payment traffic agreement related to the account must be terminated with the bank itself.

Bank account balance inquiry

The balance and balance date come according to the latest account statement, unless the balance is agreed to be updated manually on the payment traffic agreement of the account. The balance is visible on the Netvisor homepage in the Bank Accounts widget. If an agreement on balance updates has been made, you can update the balance from the "Update balance" icon next to the balance. The balance inquiry is a paid feature, and a charge is made for a successful balance inquiry according to the price list. If there is no agreement and the balance inquiry fails, no charge is made. If the company has a so-called credit limit or similar, the available balance of the credit limit can be seen by hovering the mouse over the balance, and the balance will appear in the "Available" notice window. The balance inquiry requires edit rights for bank account management in the user rights.

Using a bank account as an e-invoice address

If a bank account is to be used as an e-invoice address and this has been agreed with the bank in the payment traffic agreement, the bank account can be added as an e-invoice address on the Billing Addresses page.

Changing a bank account

If the company's bank account changes during the use of Netvisor, a new account is added, and a payment traffic agreement is made for it in the manner mentioned above. When the use of the old account is stopped, press "Deactivate" in its settings in edit mode and terminate the payment traffic agreement with the bank.

Transferring a bank account from one company to another

The bank account must be deactivated in the company from which the bank account is being transferred. After this, the account can be added to the bank accounts of another company. If the business IDs of the previous and new company differ, a new payment traffic agreement must be made with the bank. If the new company has the same business ID, no changes need to be made to the payment traffic agreement. A possible alternative payment identifier can be added to the bank account settings. The payment identifier is by default 0+company's business ID without a hyphen. When the bank account is deactivated from the company, such a bank account's account statements can be found in the Account Statements view by selecting "Deleted" from the Account dropdown menu.

Unsupported bank account

You can add a foreign bank's bank account or a bank account from a bank with which it is not possible to make a payment traffic agreement in Netvisor. In this case, the handling of the bank account is manual, meaning outgoing payments and account reporting do not work automatically through the Web Service channel but must be handled in another way. If a foreign bank account is selected to appear on the invoice form, it should be noted that some banks cannot receive e-invoices with a foreign bank account visible.

Currency account

To save a currency account in Netvisor, it must be a domestic FI-starting account. When a currency account is saved in Netvisor, the exchange rate is not handled automatically. The payment traffic agreement for the account should then agree on data transfers to Netvisor and payments if, for example, currency payments are to be made from the currency account. The accounting currency in Netvisor is always euro. The balance inquiry option is not available for the currency account, but the account balance will be according to the received account statement.
