This guide provides instructions for integrating a Shopify online store with the Rackbeat system. The guide covers the creation of API keys, product synchronization, order processing, and inventory management settings.

You can integrate Rackbeat with your Shopify online store and transfer data between these programs.

These settings can be accessed from the top right corner under your name.

Company basic information and settings > Applications > Create new

Then Applications and Shopify settings > Click on the existing interface name to access the settings.

No need to address the settings in the Advanced tab.

General settings

  • Initial synchronization > Whether to include Shopify's product registry in the initial sync or not.

  • Customer defaults > Default information for customers if Shopify creates a new customer in Rackbeat.

    • Choose the default VAT-zone for new customers: Options are Domestic, where sales are treated as domestic sales with VAT %, EU sales, where VAT % is zero, and Abroad, which means sales outside the EU, where VAT % is zero.

  • Activate MOSS > Do not activate, this is not used in Rackbeat>Netvisor integration.

  • Default employees > Default employee/contact person visible on online orders.

  • Default shipping product number > Order cost, create a product for this in the product registry.

Products

  1. Product synchronization > Choose Master.

The Master choice should be made based on where the product is first handled. For example, Rackbeat is chosen as Master if you want to purchase stock before it appears in the online store. Online store information should be further processed in the online store.

The online store should be chosen as Master if you want to prepare the product in the online store immediately. Shopify integration brings the product directly to Rackbeat. Each product appears as a separate product in Rackbeat.

  2. Default product group: Which product group do Shopify's products go to?

  1. Cost price sync > Does the purchase price transfer? You can choose whether the actual purchase price or the recommended purchase price transfers.

  2. Online availability> If you want only some products to be visible in the online store. If you want to prevent some, do so through the product's additional information field.

  3. Salesprices are excluded VAT > Do not check this, VAT is already considered in Shopify.

  4. Synchronize inventory status from Rackbeat to Shopify > Check this, when goods are received in Rackbeat, the balance flows to Shopify.

  5. Stock type to synchronize > Show free balance, or everything in stock.

  6. Sync stock for all duplicate SKU's > Enable.

Note! Models/structures are not supported in the interface, so it is recommended to handle models in Rackbeat as independent products

Orders

1. Order Synchronization: What state is the order in before it comes from the online store to Rackbeat?

2. What state is the new order in when it comes to Rackbeat.

  • Booked > Confirmed.

  • Klart till afsendelde > Confirmed and makes the shipment wait.

  • Afsend > Delivered.

  • Klart till faktura > Makes it up to the invoice draft.

  • Fakuteret et afsent > Invoiced and delivered (when paid in Shopify, everything goes automatically to Netvisor).

3. Choose the numbers that should be used when creating new orders in Rackbeat

  • It is recommended to Use next available from Rackbeat, so orders do not get duplicate numbers, etc.

4. Transfer Shopify refunds to Rackbeat as credit notes (Returns).

  • Should Shopify returns be transferred to Rackbeat? These come as credit notes to Rackbeat and correct the inventory balance.

5. Default customer for Shopify orders

  • “Fallback code/temp customer”, but unfortunately does not work at the moment, is under investigation.

6. Rackbeat primary warehouse

  • Default warehouse location (e.g., if the online store has its own warehouse).

7. Shopify primary warehouse

  • Default warehouse in Shopify (if deliveries are sent from two locations). NOTE! The default warehouse is synchronized with product balances from Rackbeat (balances can only be synchronized to one Shopify warehouse)

8.  Shopify POS orders

  • Related to Shopify's cash register. If a brick-and-mortar store with a cash register, then relevant.

  • If no cash register, then no relevant settings.

Settings:

  • Select status for new Shopify POS orders created in Rackbeat > It is recommended to select Faktureret & Afsendt from the menu so orders go through the entire process and go directly to sales invoice

  • Select a fixed customer number for new Shopify POS orders > Choose the desired customer here, and this selection directs cash sales to a specific customer

  • Select a fixed Rackbeat warehouse for new Shopify POS orders > Choose whether to use a fixed warehouse location (does the store, for example, have its own warehouse location or not)

Activate integration activates the interface and saves the settings.
