This guide explains how to create and manage product structures in the Rackbeat system. Product structures enable the formation of production orders, where the sub-products of the main product are reduced from inventory as production progresses.

In Rackbeat, you can access the product structure by going to Inventory > Product Structures.
With product structures, you can create production orders within Rackbeat, which allows you to manufacture the product in inventory. For example, a table that consists of its own sub-products, a tabletop, and table legs, and there are several of these legs.
Product structures do not transfer through integration to Netvisor. Only the main product of the product structure transfers to Netvisor as a normal individual product, which can be included, for example, on an invoice. However, you cannot see on the Netvisor side which sub-products this consists of. This product structure is visible only on the Rackbeat side.
The sub-products of the main product must first be established as products in Rackbeat so that they can be selected for the main product. The actual main product is not visible in Rackbeat's product register, but the sub-products are. The main product can be included in orders and invoices. Product structures can also be multi-tiered, meaning another product structure can be defined as a sub-product in one product structure. Product groups must exist before adding product structures.
Product structure fields
- Base price: The total sales price of the product structure
- Purchase price: The recommended purchase price of the product structure
- In stock: The total number of products in different warehouses. Clicking the value shows the balances by warehouse
- Reserved: A confirmed order makes a reservation for the products
- Available: Quantity in stock - reserved quantity
- In production: The number of products in the product structure for which a production order has been made but has not yet been recorded as completed by pressing "Record production entry" on the production order
- Reserved in production: If you have an open production order and the product structure is used in production, you will see the quantity that is 'reserved' for that production order here. So, if you produce, for example, product A, which contains product B, you will see through this how many products B are used in production.
Product structure import/download
Through the product structure listing, both the main product and the product structure rows (sub-products) can be imported from a csv file, and product structures can be downloaded to a csv file.
The file for importing the main product contains the following information:
Mandatory information includes Name, number, and product group, recommended purchase price, and base price.
Change negative quantity to zero: If this is selected for the main product, Rackbeat will primarily remove finished main products from inventory upon delivery. If there are no finished main products, Rackbeat will automatically remove the sub-products according to the product structure from the inventory balance.

In the product structure import, you can choose at the end if you do not want to import a certain field and you can also update an existing product structure. The import button shows the number of product structures to be imported. This imports only the product structure, and you still need to import your own sub-products or add them manually through Rackbeat to the so-called main products.
Product structure rows can be imported after the actual product structure products have been imported or added to Rackbeat.

With the Download data option, you can choose whether to download product structures or product structure rows from Rackbeat. With the Header option, you select which header information is downloaded from the products to the .csv file.

The main product listing can be configured to display the following columns:
Product structure search
The product structure listing has the following search criteria available:
- Search: Search for a product structure by its name
- Status: All, Open, and Blocked, which act as filters
- Per page: How many results are displayed per page
- Group: Product structures can be filtered by the desired product group using this
Product structure list row functions
The functions of the product structure listing are found at the end of the product row in the three-dot icon.
The functions from left to right are:
- Events: Inventory events related to the product structure
- Add to inventory: This allows you to add main products to the inventory balance without a production order. The function reduces the sub-products from the inventory according to the product structure and the given quantity
- Create production order: Starts creating a new production order for the selected product structure
- Edit: Opens the product structure for editing
- Copy: Copies the product structure as a basis for a new product structure
- Delete: Deletes the selected product structure row
Product structure view
General
- Name: Main product name (mandatory information)
- Number: Main product code (mandatory information. If there is a product with the same number in Netvisor, changes will also be saved to it).
- Barcode: Main product barcode
- Description: Main product description
- Unit: Main product unit
- Product group: Main product product group (mandatory information)
- Price group: Possible price group for the main product
- Default location: Default warehouse location for the main product
- Additional cost: If you want to add an overhead cost to the purchase prices of sub-products during the production entry, it is defined as a percentage in this field.
- Add image by dragging: Main product image
- Add pdf by dragging: Possible pdf attachment related to the main product
- Status: Open or Blocked. A product group product in Blocked status cannot be included in the production entry.
- Serial number: Whether the main product is serial number tracked
- Batch processing: Whether the main product is batch tracked
- Adjust negative quantity to zero: If selected, the product structure inventory balance cannot go negative.
Inventory
- In stock: How many units of the main product are in stock in total (possibly the product can be in multiple warehouses).
- Reserved: A confirmed order makes a reservation where this product has been used.
- Incoming: If the product has been ordered with a purchase order, it shows how many products would be coming to the warehouse
- Available: How many units of the inventory balance are available (in stock - reserved)
- Suggested: How many units of the main product are being produced with open production orders
- Alert limit: Product structure alert limit
- Minimum order quantity: Not relevant
- Minimum sales quantity: The minimum quantity that is agreed to be sold
- Minimum production quantity: The minimum quantity that is produced at one time
Weight & Size
- Weight: Main product weight
- Weight unit: For example, kilogram or equivalent
- Width: Main product width
- Height: Main product height
- Depth: Main product depth
- Size unit: For example, cm
Product structure rows
- Add new product: Add a new product row to the product structure
- Cost calculation automation: Either Actual costs, Suggested cost, or Standard calculation.
- Standard calculation: Recommended cost price, the cost price can be manually adjusted
- Suggested cost from structure rows: Retrieves the cost from components, i.e., calculates the cost price according to the current prices of the products
- Actual costs: Retrieves from inventory according to the inventory valuation principle, i.e., the cost price is formed according to actual inventory events
- Product number: Sub-product code
- Product: Row product. This is used to search for the desired sub-product for the structure. If the product has variations, fields will open under the Product field to address the variation used
- Quantity: How many / how much sub-product is used to manufacture the main product
- Comment: Comment related to the row, e.g., a short work instruction
- Flexible: If this option is selected for the row, you must record how much of the product was actually used during the production entry. Suitable for production where waste is generated that cannot be anticipated. This allows for quantity adjustments when the production order is made
- Recommended price: The recommended price is the retail price, which you can put as information if you sell to a reseller
- Sales price: Basic sales price of the sub-product
- Recommended cost price: Basic purchase price of the sub-product
- Cost price: Actual purchase price
- Arrows: Arrows can be used to adjust the order of rows
Translations
Language translations can be defined for the main product just like for regular products. The available languages are those defined in the system.
Prices
Currency prices can be defined for the main product just like for regular products. The available currencies are those defined in the system.
Warehouses
Warehouse-specific control information can be defined for the main product just like for regular products.
Units
Units can be defined for the main product just like for regular products. A use case could be manufacturing piece goods that are sold in certain sizes or certain sized packages.
Sales budget
A monthly sales budget can be defined for the main product. This is Rackbeat's internal budget information.
