Legal preservation of material
The customer is responsible for keeping the accounting records. Visma is not responsible for the statutory storage of the Customer's accounting records. In the event of termination, we recommend that a copy of the records be taken for the purpose of legal storage of the accounting records. It is the customer's responsibility to ensure that the material is downloaded and stored for themselves, and the copy of the material must be taken by the customer/accounting office before the last date of use indicated at the time of termination.
If the environment is no longer accessible and a copy of the data has not yet been taken, a written request for a copy of the data should be sent to Netvisor Customer Care as soon as possible. The company's data will be permanently deleted within a reasonable period of time after the termination of the contract and may not be recoverable after the termination of the contract, which is why we recommend taking a copy of the data before closing the Netvisor environment. It is the customer's responsibility to take a copy of the material.
Termination of service
You can do the termination from the Netvisor Store by clicking on the Service Management button in the top right corner. Click on the Go to Netvisor service agreement termination button to terminate the service.
For direct customers, the Netvisor environment can be terminated by a user with the KH role and for accounting office customers by an accounting office user with the TPK role.
For customers who are billed directly, the notice period is three (3) months, unless otherwise agreed in writing with the customer. The period of notice shall be calculated from the last day of the calendar month in which the termination is effected. The service will be invoiced until the end of the notice period. For clients invoiced by the accounting office, there is no separate period of notice, but the contract expires at the end of the current month.
For accounting office clients, the primary administrator of the client environment and the other party to the contract is the accounting office. The accountancy client itself does not have a contractual relationship with Visma Solutions Oy, so the termination is not made to Visma Solutions Oy, but to the accounting office. The accounting office, for its part, will inform Visma Solutions Oy of the closure of services.
When terminating, the user must choose between automatic copying or self-service.
Automatically generate a copy of the data (recommended):
The order is placed automatically by the system at the end of the last day of use and the material starts to be created. The contact person provided at the time of termination will be notified by email when the copy is ready. The automatic copy of the material can be downloaded from Netvisor for 30 days after the last day of use. To download the accounting data, the Accountant role (KP) and the Accounting profile 'All rights' are required. To download payroll data, the Payroll Administrator role (P) and the Payroll profile 'All rights' are required. If the company has had the Payroll, Time and Attendance and Travel sections enabled these should not be disabled on termination, i.e. the sections should be active in order to include the payroll data in the data copy. The chargeable event will be created when the selection is confirmed at the time of termination. The service will be charged according to the current price list.
Self-service:
The accounting material can be ordered and downloaded using the existing copy of the records service, for which the normal price of a service will be charged, according to the price list. Alternatively, the material can be stored free of charge, for example on a report-by-report basis, from the Netvisor service itself. The material must be downloaded before the last day of use. To download the accounting data, the Accountant role (KP) is required, and the Accounting profile must be 'All rights'. To download payroll data, the Payroll Administrator role (P) is required, with the Payroll profile 'All rights'. If the company has had the Payroll, Time and Attendance and Travel sections enabled these should not be disabled on termination, i.e. the sections should be active in order to include the payroll data in the data copy. The service will be charged according to the current price list.
Otherwise, termination works as before.
Withdrawal and postponement of termination
If you wish to cancel or extend the expiry date, you can do so from the Service management button in the top right-hand corner of the Netvisor Store. The Cancel Termination button allows you to cancel the termination and the arrow next to the button allows you to move the termination forward by 1-3 months at a time.
Transfer of customership
If the client company intends to continue using Netvisor as a direct client or under another accounting firm, please inform our Customer care: [email protected]. In the event of a transfer of a client relationship, the billing of the accounting office can, in the best case, be cut off immediately without any additional effort.
Important things to note
Expiry date
In the past, the expiry date has not prevented the use of the company. In the future, the user's activities will be restricted and the service can no longer be used. However, you can always change companies or log out of the service.
In the future, when a user logs into a business after the last day of use within 30 days, the next page will open for the user:
A copy service page for downloading material (if the option to automatically download material was selected at the time of termination).
OR
A page informing you that the service has been terminated
Termination of a payment service contract
Incoming bank documents will be charged for as long as we receive them in connection with automatic collections (e.g. bank statements, reference payments, incoming e-invoices and direct debit mandates). The generation of bank statements at the bank for collection by Netvisor will stop when you terminate the Netvisor authorisation for the transfer of bank statements at the bank. Please also remember to close any possible forwarding of incoming e-invoices from the bank to Netvisor, so that purchase invoices are no longer forwarded to Netvisor. You can terminate the authorisation by contacting your bank. Please note that only the party that has entered into a bank business contract can terminate it; it cannot be terminated by Visma Solutions Oy or an accountancy firm. Visma Solutions Oy reserves the right to continue to charge transaction fees even after the termination period, provided that the customer has not terminated the banking transaction agreement.
Sending and receiving e-invoices:
NOTE! The actions below will disconnect the Maventa e-invoice connection for Netvisor only during the following night, but on the Maventa e-invoice operator end, the company's Maventa account will still be active. If you wish to close the account completely also at the Maventa e-invoicing operator end, please contact Netvisor Customer care to close the account. If the account is still valid at the Maventa e-invoicing operator end, the account can be linked to the new invoicing/financial management system.
If the account is no longer linked to any system in the future and is left in place, it may still receive purchase invoices from billers, which in this case will be ignored. The Maventa account will be closed within a reasonable period of time after the closure of Netvisor.
It is advisable to close the receipt of purchase invoices via Maventa's e-invoice connection for the company to be closed on the desired date in advance, so that no new invoices are forwarded there. If necessary, you can also close the entire Maventa e-invoicing for Netvisor (sending sales invoices and receiving purchase invoices) at once. To close it, go to Store > Electronic service channels > Maventa e-invoicing > Edit (=if you want to close only the receipt of purchase invoices, select "Send only" in this view) or > Disable (=if you want to close the entire e-invoice connection for Netvisor, i.e. the sending of sales invoices and the receipt of purchase invoices).
Other things to consider
You can minimise your notice period billing by following the steps below.
Removal of users
When a Netvisor service contract is terminated, it is advisable to delete the excess users in the company. By removing users, the possibility of additional transaction debits during the termination period is minimised.
Closing additional services, extensions and the interface service
We will charge you for any transaction fees incurred until the end of the notice period, so it's a good idea to exclude unnecessary services to avoid unnecessary charges. The user administrator or the head user of the accounting office can turn off additional services in the Netvisor Store.
Maventa e-invoicing
The Maventa account will be closed within a reasonable period of time after the closure of the Netvisor service. If the company wishes to continue using the Maventa account, e.g. in another system, it must be notified when terminating the Netvisor service contract.
Purchase invoice scanning service
The scanning addresses used by the company are also closed when the Netvisor service is closed. In case of termination, an email address must be specified in the field provided for this purpose, to which the invoices that have been attempted to be delivered to the purchase invoice scanning addresses will be routed (for 60 days after termination).
