Budget rules
Budget comparison data is available as follows:
- on the accounting report Profit and loss statement, budget comparison
- on target accounting reports
- in the views and graphical presentations of the Key Figures and Management Reporting function
Budget forecast rules in Controller
Proceed as follows when using budget forecast rules:
- Note that each key figure to be budgeted has a corresponding account (usually a balance sheet account group).
- Do not record the budget manually for key figures that are defined as corresponding accounts, because manual budget entries cannot be made for them.
- Use the maintenance of budget forecast rules when you want to define a forecast rule based on an allocation curve for entries resulting from the entered budget (for example, the change of accounts receivable to cash and bank receivables in future periods).
- Base the balance sheet budget figures for future periods on the starting data of the most recent actual period. These are copied as the budget data for that period, and according to the forecast rules, the forecast values of the balance sheet key figures are shown.
- Identify the forecast period in the tracking view from the pink background of the timeline bar.


New budget forecast rule
Add a new budget forecast rule as follows:
- Select Controller > Settings > Budget settings (old).
- Select the Budget rules view.
- Click the add budget forecast rule link.


Name: Name of the forecast rule
Allocation curve: The allocation curve to be used. Read more about this function in the Allocation curve help below.
Budget versions
Use as many different budget versions in budgeting as you wish as follows:
- Make use of several budget versions, as budget versions are not time-bound.
- Use the same budget version regardless of the fiscal year, if needed.
- In practice, separate the budgets of different years into their own budget versions to make management clearer.


New version - This function adds a new budget version.
Name - Descriptive name of the budget version
Set as default - Setting the default version of the budget. The default version is used, for example, in Key Figures views and various accounting reports where budget comparison is shown. Only one version can be set as default at a time.
Delete - Deletes the budget version. Note the following:
- You cannot delete the default version. First change the default to some other version.
- All budget figures entered for the version will be deleted at the same time.
- Deleted budget figures cannot be restored.
Allocation curves
Use the Allocation curve function when you want to enter the budget at once and distribute it to months according to the allocation curve. Proceed as follows:
- Enter the budget as one total amount and distribute it to months according to the allocation curve.
- For example, create an allocation curve that takes the season into account for entering the sales budget.
- Use the same allocation curves also in the Key Figures and Management Reporting function (forecast rules).
- Use the same allocation curves on the Accounting side in the purchase invoice accrual tool.


Note the following when using allocation curves:
- The system has a few ready-made allocation curves.
- Modify the ready-made allocation curves if needed.
- Add new allocation curves when you need different types of accruals.
New allocation curve


Create a new allocation curve as follows:
- Open Controller > Settings > Budget settings (old) > Allocation curves.
- Select the New allocation curve function.
- Give the allocation curve the desired name.
- Enter the desired number of periods.
Note the following when defining the number of periods:
- If you create allocation curves that differ from the calendar year, for example a quarterly allocation curve, enter 12 periods so that the allocation curve works for the whole year.
- If you only establish four periods, the distribution will occur in the first four months of the period.


Above is an example of an allocation curve divided for the whole year. Proceed as follows when editing the percentage shares:
- Modify the percentage shares freely as needed.
- Make sure that the total of the percentage shares is always 100%.
Use the Distribute percentages evenly for the period when updating function as follows:
- Note that the percentages often do not calculate evenly; for example, in the image above, the last month has slightly more percentage share.
- Still make sure that the value in the total field is 100.
- Click the button when you want to distribute the percentages evenly, if an even distribution is possible.
Below is an example of a quarterly allocation curve.
