This guide answers frequently asked questions regarding access rights. You can open access rights management by selecting from under the company name Company menu > Users and access rights > Users and roles. Only users with the accounting office administrator (TPK), user administrator (KH) or auditor (TT) role have access to this view. Of these, TPK and KH users can edit other users' access rights.

Adding a user and roles
How to add a new user?
Managing access rights requires a KH role and/or a TPK role.
- Select from under the company name Company menu > Users and access rights > Users and roles > Authenticate to add user.
- Perform strong authentication with the Netvisor mobile app or bank credentials to verify the identity of the user administrator.
- Wait for the Users and roles view to open after successful authentication.
- Select Add user.
- In the opening view, select the identification method:
- Add a Finnish user with a Finnish personal identity code.
- Add a foreign user with a Netvisor identifier.

How to add an accounting office administrator (assigning TPK role)
The TPK role can only be added by another TPK or KH + administrator.
- Make sure that you have a TPK role or KH role and that you are the company administrator.
- Add the TPK role to the user via permission copying.
- In exceptional cases, ask Netvisor support to add the TPK role based on a written request.
- Note that once the user has the TPK role, they are automatically added as a user to new companies established by the accounting office.

Adding an auditor and access rights
An auditor can be added and removed with KH (user administrator) or TPK (accounting office administrator) rights. If the company uses Netvisor Payroll, adding an auditor requires KH + administrator rights or TPK access rights. In exceptional cases, the rights can be added via support based on a written request.
- Add the auditor to the company's environment as a user like any other new user. See: adding a user.
- Give the auditor the following access rights:
- Accounting: browsing rights + Auditor (TT) role.
- Payroll: browsing rights + Payroll accountant (P) role.
- Make sure that the auditor's basic company is Netvisor Auditors so that the auditor can later be added to other companies as an auditor without issues.
- If the auditor's basic company is something other than Netvisor Auditors, please contact Netvisor customer support to correct the basic company.
Financial period archive rights - how to add?
Financial period archive access rights are set per user.
- Make sure that you have user administrator (KH) rights in the company. The user administrator can also edit their own rights.
- Select from under the company name Company menu > Service management > Financial period archive access rights.
- Set financial period archive access rights for the desired users.
- If you allow a user to save material to the financial period archive, make sure that the user's basic rights include editing rights to the financial period archive.

How can I assign the Payroll accountant (P) role to a user?
The Payroll accountant (P) role can be assigned by:
- The company administrator who also has user administrator rights (KH).
- The accounting office administrator (TPK), if the request comes from an accounting office client.

Basic company in Netvisor
Basic company and what it means?
The basic company is the company to which the user was originally established in Netvisor.
- You can see users' basic company in the Users and roles listing in the Basic company column.
- If the basic company shows ***, the user's basic company is a company to which you do not have access rights.

Changing the basic company
Note the following regarding changing the basic company:
- If a user's right to their basic company is removed, the user cannot log into any other company, even if they have rights to them.
- When login is blocked due to the basic company, a pop-up window opens on the next login, from which the user can select a new basic company.
- If the pop-up window is not shown, Netvisor support can change the basic company.
- Users cannot change other users' basic company.
The basic company cannot be changed in Netvisor in a situation where it is desired to change it without other changes in access rights. If a user needs to change the basic company, please contact Netvisor support.
Removing a user and access rights
How to remove a user?
Only users with KH and/or TPK roles can remove users' access rights.
- Select from under the company name Company menu > Users and access rights > Users and roles.
- Open the user by clicking the user's name.
- Select the Other user permissions link to see the user's access rights in all companies.
- Remove access rights by clicking the link in the Remove column on the row of the company to be removed.

I see my former companies in my menu, how do I remove my access rights?
Users cannot remove themselves from a company; instead, access rights are managed by the company's KH and TPK users. If you see companies in the company search menu that you should no longer have access to, you should primarily contact the company to have your access rights removed.
How to remove access rights from a user? (e.g. removing the TPK role)
Removing the TPK role is done using the permission copying tool.
- Make sure that you have user administrator (KH) and/or accounting office administrator (TPK) rights in the companies to which access rights are being copied.
- Make sure that the user performing the copy has at least some rights (no "no rights" profile in the sales, products, purchases and financial management section), so that the tool opens.
- Copy access rights to the user from a person who does not have the TPK role.
Company administrator
How to add/change the company administrator?
- Make sure that you have a KH role.
- Select from under the company name Company menu > Users and access rights > Users and roles.
- Select the More actions button above the user listing.
- Select Set company administrator.
- Select the desired user as the company administrator from the menu.
Administrator rights
The administrator role authorizes the following actions:
- Implement, enable, activate, start using service sections
- Signing contracts in the service
- If the administrator also has user administrator rights (KH), they can:
- Add other KH-level users to the company.
- Grant Payroll accountant rights to necessary individuals.
Note that the administrator does not automatically receive all rights or access to service sections, but must be given the necessary access rights and roles as usual.
Factual verification and approval rights
What access rights are needed for factual verification and approval of purchase invoices?
Define the following rights for the user:
- Accounts payable basic functions (editing)
- Accounts payable views and lists (editing)
- In sales and accounts payable rights, the right to factual verification and/or approval of purchase invoices

Controller access rights
What access rights are needed for using Controller?
Each Controller user must have "Access to Controller page" in function-specific rights. This right is included by default in the All rights profile.
- A user with the accounting office administrator role (TPK) automatically gets Controller administrator rights.
- Without the TPK role, the user must have in the company where the service is to be implemented one of the following Netvisor rights in order to access Controller:
- Accountant (KP)
- User administrator (KH)
- Accounting office administrator (TPK)
- Company administrator
- Company user profile
- All rights profile
Adding users to Controller after implementation
- Make sure that you are a Controller administrator.
- Select the Add new button in Controller.
- Select whether the user is added as an administrator or as a user.
- Note that you cannot edit your own access rights.
- If a user moving to Controller does not have rights to the Controller section, the user is notified of the lack of access rights and shown the name of the administrator to contact.
- Wait until Controller data has been updated at least once after adding the user so that the user becomes selectable in Controller.
- If you want to add a user who has just been established in Netvisor, update Controller data manually and then select this new user in Controller.

Logging into Netvisor
Why can't I log into Netvisor?
Common reasons why login is blocked:
- The user does not have a valid access right to their Netvisor basic company. As a result, logging into the service is blocked. In this situation, follow the instructions on changing the basic company: Changing the basic company
- The user is established in Netvisor only as an employee. An employee can log into the Netvisor browser version only if they are also established in Netvisor as an actual user. Just having employee status is not enough. The user can be added directly from employees as a user, see the guide: Adding a user from company employees
Can I choose which company opens by default when I log into Netvisor?
You can select the company you use the most as your default login company.
- Open the company search.
- Select the desired company.
- Select the option Set as default login company under the company search.

How do I log into the Netvisor Mobile app?
You can log into the app without Netvisor user credentials, but you can only log into the Netvisor browser version if the person is also established in Netvisor as an actual user (just being an employee is not enough).

Logging in as a foreign user
The primary way to log in and implement, enable, activate, start using the Netvisor mobile app is Finnish bank credentials.
- If a foreign person does not have Finnish online banking credentials and cannot obtain them, you can invite them as a Netvisor mobile app user.
- A foreign user can be invited by a person with the user administrator (KH) or accounting office administrator (TPK) role.
The invited user:
- Sees the sender of the invitation and the company name.
- Receives a 16-character activation code, which they must enter into the Netvisor mobile app.
- Completes the authentication by entering into the app the 6-digit confirmation code received via SMS.
