This guide describes step-by-step how to create a structure in Netvisor that allows recorded working hours to be displayed on the payslip. The instructions cover the creation of a salary type coefficient, target salary type, and record type, as well as their integration into the salary model and the definition of unit prices.

If you want the record type to be visible on the payslip, you need to create a target salary type and a salary type coefficient for the record type. The working hours recorded for the record type will appear on the payslip under the name of the target salary type.
This guide provides step-by-step instructions for creating this structure.

1. Create a salary type coefficient to define where the unit price of the record type is retrieved from
Salaries > Payroll > Salary model management > Company-specific salary types > Add new salary type
- Start creating a new salary type from Company-specific salary types.
- Fill in the basic data:
- Salary type number: Not needed, this is for integration purposes
- Name: for example, "Hourly pay"
- Language translations optional
- Group: Salaries and allowances
- Salary list group: Not considered
- Source: Employee's salary basis OR Payroll settings

Salary basis
Salaries > Personnel > Salary basis management
A fixed unit price can be defined in the salary basis, which is paid differently to employees.

Payroll settings
Salaries > Settings > Payroll settings
In payroll settings, default salary types can be defined with a fixed unit price, which is paid equally to all employees.

2. Create a target salary type to which the record type points, i.e., the salary type visible on the payslip
Salaries > Payroll > Salary model management > Company-specific salary types > Add new salary type
- Start creating a new salary type from Company-specific salary types.
- Enter the basic data:
- Salary type number: Not necessary, this is used in integration imports
- Name: for example, "Time work earnings"
- Language translations: add if necessary
- Group: Salaries and allowances
- Salary list group: Not considered
- Source: User's formula
- Unit: optional according to income register instructions
- Income type: Select the income type according to income register instructions
- Define additional settings:
- Reporting: Displayed in reports
- Calculation: Included in calculation by default
- Payment: Paid in money
- Frequency: No selection here
- Set accounting settings:
- Debet account for posting: Add account
- Credit account for posting: Add account

3. Link the target salary type to the salary model
Salaries > Payroll > Salary model management > desired salary model > Salary type formulas > click the pen/notepad icon in the "formulas" column
- The created salary type (in the example "Time work earnings") must be linked to the salary model before creating the record type formula. Once the salary type is created in company-specific salary types, link it to the salary model from the salary model formulas.
- Since the "Time work earnings" salary type is subject to withholding tax and the employee's pension insurance contribution and unemployment insurance contribution must be deducted from it, link it to the salary type "salary in money".
- Select Salaries > Payroll > Salary model management > desired salary model's "salary type formulas" tab > "salary in money" salary type row > "edit" (pen/notepad).

- Press the green plus sign twice at the bottom of the page to get two new rows to process.

- Change the second row to "salary type" and select "Time work earnings" from the dropdown menu.

- Save the formula. Now the salary type is linked to the salary model and can be used in payroll.
4. Create a new record type for recording working hours
Salaries > Settings > Payroll settings > Record types > Add new record type
- Create a new record type from payroll settings.
- Enter the record type details:
- Number: Not necessary, this is for integration purposes
- Name: for example, 00. Example Normal time work. The number in front of the name affects alphabetical order.

- Select settings:
- Nature: Hourly record
- Unit: Hour
- Affects holiday entitlement: The selection affects whether the record type is included in the comparison of the employment condition (14-day or 35-hour rule). Only record types with this selection are included in the comparison.
- Use in flexitime calculation: Choose whether the record type affects flexitime. More information in the guide Flexitime
- Affects working hours: Whether the hourly record is counted towards the five-day weekly work amount.
- Show record type details on payslip: Whether the record type name and amounts are brought to the row description of the payslip.
5. Add a salary model-specific formula
- Select the salary model where the record type is used.
- Define whether the record type is the basis for pay and target calculation. The formula can be, for example, "Hours x 1 x Hourly pay = Time work earnings".

- Define the parts of the formula:
- Basis for pay: Determines whether the entered hours are paid on the payslip.
- Basis for target calculation: If you want the record type to affect cost centers and create an allocation curve on the payslip
- Coefficient: The multiplier of the formula's multiplication. Example: if the intention is to pay 100% of the entered hour, the coefficient is one. If only 50% of the entered hour is paid, the coefficient is 0.5. Use a maximum of two decimals.
- Salary type coefficient: Select the previously created salary type with a defined unit price.
- Target salary type: Select the previously created target salary type.
Once the formula is added, hours can be recorded with the record type in Netvisor's working hours entry or Netvisor mobile app, and after approval, the entered hours will be paid on the payslip.
6. Add a unit price to the salary type coefficient
Salaries > Personnel > Salary basis management
If the source of the salary type coefficient is the employee's salary basis, add a unit price to the "Example Hourly pay" salary type in the salary basis.

7. Example
Working hours > Working hours entry
- Record working hours in the working hours entry.

- Once the hourly record is confirmed and approved, it enters the payroll process for payment.
- The hourly record appears in the modification of source data on the payslip under the heading Approved time management data.

- Create a payslip. A row for the Example Time work earnings salary type is formed on the payslip.

8. Format the salary model
Salaries > Payroll > Salary model management > Select salary model > Format tab
- Edit the payslip to the desired appearance by changing the order of salary types by dragging them or hiding the salary type from view.

- Save changes from the bottom of the page.

The "Payroll view" tab shows the postings of salary types.
Frequently asked questions
Recorded working hours do not appear on the payslip, what's wrong?
- Check the formula of the record type from: Salaries > Settings > Payroll settings > Record types > Select record type name > Salary model-specific formulas.
- Ensure that the settings have "Basis for pay: Yes" selected.

- Check that the salary type "Hourly pay" has a value in the salary basis: Salaries > Personnel > Salary basis management.

- Check that the employee has a monthly salary and the settings have an hourly pay divisor: Salaries > Settings > Payroll settings > Basic data > Hourly pay divisor of monthly salary.

- Ensure that salary types have the selection "Included in calculation by default".

- Delete any possibly created payslip and recreate it after corrections.
Can I edit already paid working hours?
Yes, you can. From the working hours efficiency management, you can change the status of paid hours back to open and make corrections directly in the Working hours entry view. Once the hourly records are corrected, change them back to "Paid" status and link to the payslip.
