It is possible to import employee holiday information into Netvisor using an Excel import template instead of entering the figures manually into the program. This help guide provides detailed instructions on how the import template works. The import template can be found in the user interface menu Payroll > Holidays > Holiday management > Import holiday information. You can also find the import template in the menu Payroll > Holidays > Holiday management > Holiday year prices and holiday payslips > Import holiday information. The import template is designed as a tool for implementation. Therefore, it cannot override all existing holiday balances in the program or reset them.
Downloading the import template for completion
Before downloading the import template, the following must be ready in Netvisor:
- employees with their employment added
- salary models activated
- holiday calculation methods added
- employees must be linked to the desired salary models and holiday calculation methods
- the holiday calculation method must be assignable to the employee
The import template is always downloaded from the company to which the information is being imported. If desired, you can choose to pre-fill the import template with certain holiday years and employees from specific salary models during the download. If no selections are made, the selection of employees and holiday years is done manually during the completion phase. Please note that pre-filling only adds employees from the selected salary models who have an active employment at the time of download or are starting in the future.
Completing the import template
The downloaded and saved import template opens in Excel. If necessary, allow file editing (see image below) and then fill in the information to be imported.

Information is filled in for each employee by holiday year.

Empty rows do not need to be deleted; empty rows are simply ignored during import.
Remaining holiday balances
Save the number of unpaid holiday days for each holiday accrual year. Also save the amount of holiday pay and bonus corresponding to the number of unpaid holiday days in euros.
Holiday year calculation methods and prices
Select the calculation rule to be used from the dropdown menu for the desired holiday calculation methods by holiday year. If you use the "user-entered value" option, also add the fixed prices for annual holiday days and holiday bonus days in their respective columns. User-entered values for annual holiday day prices and holiday bonus day prices are displayed in the user interface view Payroll > Holidays > Holiday management > Holiday year prices and holiday payslips.
Returning the completed import template to Netvisor
Once the import template is completed and saved, you can drop the file by dragging it to the Netvisor user interface view Payroll > Holidays > Holiday management > Import holiday information. Alternatively, you can click the return view icon to select the Excel file from your directory.

If everything is ready for import, a notification "holiday information is ready for import" is displayed.

The view can be filtered if desired so that only empty rows are displayed. An empty row refers to a row with no data to be imported. Empty rows do not need to be deleted; they are ignored during import. The import is confirmed by clicking the "import holiday information" button:

After the import, the information is in the program. In the view Payroll > Holidays > Holiday management > Holiday pay debt > "all information" the column shows the info "holiday information import" if the information was imported using the Excel import template:

Notifications and error situations
The program interprets the data in the holiday information import template and notifies the user in the user interface if the data to be imported contains errors. If the import cannot be performed due to data containing errors, a notification "errors preventing import" is displayed:

Errors are corrected in the Excel import template, after which the import is done again. Typical error situations:
- fixed prices have been given on the import template, but the calculation rule is not selected
- the calculation rule "user-entered value" is selected, but the price information is empty
- values have been given to a row that does not correspond to any employee
- holiday year is not selected
- non-numeric information has been entered into a field
If the import template does not contain actual errors preventing import, but it contains data that the user should pay special attention to, an orange notification is displayed.
The import template is designed to be used for importing holiday information during the implementation of Netvisor when there are no holiday accruals saved in the program yet. For this reason, the orange notification is displayed when the import template is returned and there are already values in the program. The imported data partially overrides the values in the program. If there are already holiday information in the program and the import is done despite the orange notification, the data is overridden as follows:
- imported data for completed holiday years is brought as a lump sum to March of the respective holiday year
- imported data for the current holiday year is brought to April of the current holiday year
Note that if there were previously monthly values on different months in the program, these remain in effect as exceptions for March and April according to the above logic.
Access rights
The holiday information import functionality requires the payroll accountant role (P) and edit rights for "holidays and absences" in the payroll-specific rights.
